2.  Who we are

The Hellenic Orthodox Community of Parramatta and Districts, ABN 94 000 387 324, of 163–165 George Street, Parramatta NSW 2150, is the promoter of the Theotokos & Jesus Mosaic Icon Raffle and the organiser of the Let’s Go Greek Festival.

3.  What personal information we collect

Depending on how you enter the Raffle, we may collect:

•  Your full name

•  Contact details, such as email address, mobile number and postal address

•  State and postcode of residence (required to confirm your eligibility to enter)

•  Ticket order and payment confirmation details (payment card details themselves are collected and processed directly by RaffleTix’s payment processor and are not collected or stored by HOCPD)

•  Any information you voluntarily provide, such as responses to optional consent questions

4.  How we collect your personal information

We collect personal information:

•  When you purchase a raffle ticket online via the RaffleTix platform

•  When you purchase a raffle ticket in person at the Let’s Go Greek Festival or another HOCPD event

•  When you contact us directly, including to ask a question, lodge a complaint, or claim a prize

5.  Why we collect, hold and use your personal information

We collect and use your personal information to:

•  Process and confirm your raffle ticket purchase and entry

•  Conduct the Raffle draw and verify entrant eligibility (including state and age restrictions, as set out in the Raffle Terms and Conditions)

•  Contact you if you are a winner, and coordinate prize collection or delivery

•  Publish winners’ names on the Raffle website and HOCPD’s social media, as described in the Raffle Terms and Conditions

•  Comply with our legal and regulatory obligations as a raffle promoter, including reporting or record-keeping requirements under applicable state gambling and charitable fundraising legislation

•  Handle any queries, complaints or disputes relating to the Raffle

•  Share updates, promotions or communications from HOCPD’s festival partners, sponsors and supporting organisations, whose products and services may be of interest to you

If you do not wish to have your personal information used for the purposes described in the final point above, you may opt out at any time — see Section 7 (Partner & Sponsor Sharing and Opt-Out) below.

6.  Disclosure of your personal information

We may disclose your personal information to:

•  RaffleTix, as the ticketing platform used to process and administer online raffle entries, in accordance with the RaffleTix Privacy Policy

•  Stripe, RaffleTix’s payment processor, solely for the purpose of processing your payment

•  Relevant state or territory gambling/fundraising regulators, where required by law

•  Our professional advisers (such as auditors or legal advisers), where reasonably necessary

•  Our festival partners, sponsors and supporting organisations, for the purposes of providing you with information about their products, services and offers — subject to your right to opt out as described in Section 7 below.

We do not sell your personal information.

7.  Partner & Sponsor Sharing and Opt-Out

We may share your personal information with our festival partners, sponsors and supporting organisations for the purposes of providing you with information about their products, services and offers.

If you do not wish to have your personal information shared with our partners and sponsors, please notify us in writing at admin@letsgogreekfestival.com.au at any time. We will process all opt-out requests within a reasonable time.

Please note that opting out of partner and sponsor sharing does not affect your raffle entry or eligibility to win prizes.

8.  Storage and security

We take reasonable steps to protect the personal information we hold from misuse, interference, loss, and unauthorised access, modification or disclosure. Online ticket purchase data is held on RaffleTix’s secure hosting infrastructure in accordance with RaffleTix’s own security practices; information collected directly by HOCPD (such as in-person entry records) is stored securely and access is limited to authorised HOCPD volunteers and staff involved in running the Raffle.

9.  Access and correction

You may request access to, or correction of, the personal information we hold about you by contacting us using the details in Section 12. We will respond to your request within a reasonable period.

10.  Data retention

We retain personal information collected for the Raffle only for as long as reasonably necessary to fulfil the purposes described in this policy, including any applicable regulatory record-keeping period, after which it will be securely destroyed or de-identified.

If you have a concern about how we have handled your personal information, please contact us using the details below. We will investigate and respond to your complaint. If you are not satisfied with our response, you may lodge a complaint with the Office of the Australian Information Commissioner (OAIC) at oaic.gov.au.
